These Terms & Conditions ("Terms") govern your access to and use of the Health Optimisation Summit. you agree to these Terms.

These terms and conditions (the Terms) apply to tickets for, attendance at and participation in Health Optimisation Summit 2026 (the Event).

The Event is organised by Health Optimisation (Summit) Ltd, a company registered in England and Wales under company number 11881895, with its registered office at 23 High Street, Bagshot, Surrey, United Kingdom, GU19 5AF (HOS, we, us or our).

The Event will take place at the Business Design Centre, 52 Upper Street, Islington, London, N1 0QH, from 11 to 13 September 2026. Friday 11 September is the Business of Health Day and includes separate VIP events. The Business of Health Day is open only to holders of a Business Day ticket or another ticket that expressly includes Friday access. The main Summit takes place on Saturday 12 and Sunday 13 September.

By purchasing, holding or using a ticket, or attending the Event, you agree to these Terms. If you buy tickets for other people, you must make these Terms available to them and ensure that they understand that the Terms apply to their attendance.

Nothing in these Terms affects any rights you have under applicable consumer law which cannot lawfully be excluded or limited.

1. Event programme and opening times

The scheduled Event times are:

  • Friday 11 September 2026, Business of Health Day: 09:00–17:00

  • Saturday 12 September 2026, Health Optimisation Summit: 09:00–19:00

  • Sunday 13 September 2026, Health Optimisation Summit: 09:00–16:00

Opening times, speakers, exhibitors, sessions, workshops, activities, content, room allocations and other programme details may change. Published schedules are indicative and do not form a guarantee that a particular speaker, exhibitor, session or activity will be available. We may make reasonable changes where necessary for operational, safety, security or logistical reasons.

Different ticket types provide different access and benefits. Your booking confirmation states what is included with your ticket. A Business Day ticket does not include the weekend Summit unless expressly stated. Access to the Business of Health Day, VIP Lounge, reserved seating, VIP Reception, social events, workshops, experiences and other restricted areas is available only where expressly included with the relevant ticket or add-on.

Attendance at keynote talks and all other sessions is available on a first-come, first-served basis and is subject to room capacity. We recommend arriving at least 15 minutes before the advertised start time. VIP ticket holders have access to reserved front-row seating for keynote talks, but reserved seats are held only until five minutes before the advertised start time. After that point, any unoccupied reserved seats may be released to other attendees.

2. Tickets and bookings

Your booking is confirmed only when we have received cleared payment and issued a booking confirmation. You must provide accurate and complete information when booking and keep your attendee details up to date.

Each ticket permits admission for one named attendee only, unless the ticket description expressly says otherwise. Tickets may not be copied, resold for profit, used as part of an unauthorised promotion or transferred contrary to any transfer process or deadline we communicate. We may cancel a ticket obtained or used in breach of this clause without refund.

You may transfer your ticket to another person or defer it to the following year's Health Optimisation Summit by contacting enquiries@healthoptimisation.com. We must receive the request before the Event begins at 09:00 on Friday 11 September 2026. Requests received at or after that time will not be accepted. The ticket must also be unused when the request is made.

A ticket may be deferred once only. A deferred ticket will be exchanged for the same ticket tier at the next Health Optimisation Summit in that location, with no additional ticket-price difference payable. Deferral does not entitle the ticket holder to a cash refund. Benefits, programme content, dates, venue and other features of the next event may differ from those offered in 2026. The recipient of a transferred ticket must accept these Terms.

Ticket upgrades and add-ons are subject to availability. Unless stated otherwise, an upgrade changes only the benefits expressly described and does not create an additional admission ticket.

Any ticket category offered on the basis of eligibility, including an NHS, student, military, over-65 or other concession ticket, requires suitable evidence of eligibility on entry. If satisfactory evidence cannot be provided, we may require payment of the difference between the concession price and the applicable regular ticket price or refuse admission.

3. Prices and payment

Ticket prices are those shown during checkout at the time of purchase. Prices may change over time and promotional prices may be withdrawn, but a later price change will not alter the price of a completed booking.

Discount codes, promotions and multi-ticket offers are subject to their stated conditions, availability and expiry dates. Unless expressly stated otherwise, offers cannot be combined, applied retrospectively or exchanged for cash. Where an offer requires a specified number or combination of tickets, all required tickets must be selected and purchased in the same eligible booking.

You are responsible for checking the booking summary, attendee count, ticket types, upgrades, discounts and total payable before completing payment. If an obvious pricing, description or technical error affects a booking, we may contact the purchaser to correct it. Where we cannot honour the booking as displayed, the purchaser may choose to proceed on the corrected terms or receive a full refund.

4. Cancellations, refunds and non-attendance

Tickets are for leisure services supplied on specified dates. Except where the Event is cancelled, its dates change, we expressly offer a cancellation right, or applicable law requires otherwise, tickets are non-refundable if you change your mind, can no longer attend, arrive late, leave early or choose not to use part of the Event. The transfer and deferral options in section 2 remain available subject to their conditions.

The statutory 14-day cancellation right that applies to some online purchases does not generally apply to tickets for leisure activities taking place on a specific date or during a specific period.

If we cancel the Event in full and do not reschedule it, ticket purchasers will be entitled to a refund of the ticket price and any Event add-ons purchased directly from us for the cancelled Event, less any amount already refunded.

If we change the Event dates, affected ticket purchasers may request a refund or choose any alternative option we offer. If we make another material change, including relocating the Event in a way that materially affects attendance, we will explain the options and remedies available. A change to a speaker, exhibitor, session, workshop, running time, room, Event layout or other programme detail will not normally amount to a material change and will not qualify for a refund.

We are not responsible for travel, accommodation, subsistence or other costs incurred in connection with the Event, including where the Event is cancelled, rescheduled or changed, except to the extent that liability cannot lawfully be excluded. Attendees should consider refundable bookings and appropriate travel insurance.

Money-Back Guarantee

Eligible tickets purchased between 7 August 2026 and the start of the Event on 11 September 2026 may be covered by our Money-Back Guarantee. The Money-Back Guarantee and its eligibility requirements are incorporated into and form part of these Terms for qualifying bookings.

To claim under the Money-Back Guarantee, the ticket holder must comply with all of its published conditions. These include attending every core Event experience included with their ticket, raising a reasonable and specific concern in person with a senior member of the HOS team in the Organisers' Office before leaving the Event, and giving HOS a reasonable opportunity to resolve the concern during the Event. VIP ticket holders must also attend the VIP Reception on Friday 11 September 2026. Attendance may be verified using Event check-in records.

The guarantee will not apply where HOS offers a reasonable resolution that addresses the concern and the ticket holder declines it. If an eligible concern cannot reasonably be resolved during the Event and all guarantee conditions have been met, HOS will refund the price paid for the eligible ticket.

The Money-Back Guarantee is additional to, and does not limit, your statutory rights. It is a specific exception to the general non-refundable ticket policy in this section. If there is any conflict between this summary and the full Money-Back Guarantee, the full published guarantee will apply, except that nothing in either document limits rights that cannot lawfully be excluded.

5. Events outside our reasonable control

We will not be responsible for a failure or delay caused by circumstances outside our reasonable control. These may include severe weather, fire, flood, epidemic or pandemic, transport disruption, industrial action, national mourning, war, terrorism or threat of terrorism, civil unrest, government action, venue closure, utility or telecommunications failure, or the unavoidable unavailability of essential personnel or suppliers.

Where such circumstances arise, we may reasonably suspend, postpone, relocate, modify or cancel all or part of the Event. We will communicate significant changes as soon as reasonably practicable and provide any remedies required by applicable law.

6. Admission and conduct

You must bring a valid ticket or booking confirmation and, if requested, valid photographic identification and evidence supporting any concession ticket. Admission is subject to venue capacity, security procedures and the rules of the Business Design Centre.

You must keep your Event badge with you and display or present it when requested. A valid badge is required for re-entry and access to ticket-restricted areas. Lost or damaged badges may need to be replaced, and we may refuse re-entry or restricted-area access where an attendee cannot present a valid badge. Any replacement badge remains subject to verification of the attendee's identity and booking.

We may refuse admission or remove an attendee where we reasonably believe this is necessary for safety, security, the prevention of disorder or crime, protection of others, or the proper operation of the Event. This includes where an attendee:

  • behaves in a threatening, abusive, discriminatory, harassing, disruptive or unsafe manner;

  • is intoxicated or impaired by alcohol or drugs;

  • fails to comply with these Terms, venue rules or reasonable instructions from Event or venue staff;

  • attempts to access an area or benefit not included with their ticket;

  • misuses, damages or interferes with the venue, equipment or another person's property; or

  • conducts unauthorised selling, solicitation, promotion, filming or commercial activity.

No refund will be provided where admission is refused or an attendee is removed because of their own breach of these Terms, except where required by law.

Attendees must not bring prohibited, illegal or dangerous items into the venue. Bag checks and other proportionate security measures may be carried out by the venue or Event security team.

7. Children and young people

Attendees aged 16 or under must hold a valid child ticket and be accompanied by a responsible adult aged 18 or over at all times. The accompanying adult is responsible for their supervision, conduct and welfare. Attendees aged 17 must hold a regular ticket and, as persons under 18, must also be accompanied by a responsible adult aged 18 or over.

Child tickets are for attendees aged 16 or under on the first day of the Event. Every child requires their own valid child ticket. We may request reasonable proof of age. Age restrictions may apply to particular sessions, products, demonstrations, treatments, workshops, after-parties or activities. An under-18 attendee may be refused participation where participation would be unlawful, unsuitable or unsafe, even if they hold an Event admission ticket.

8. Workshops, demonstrations and physical activities

Workshops are available on a first-come, first-served basis and are subject to capacity. Entry to the Event or inclusion of workshops within a ticket does not guarantee admission to a particular workshop. Other demonstrations, treatments, assessments and activities may be subject to advance booking, additional charges, eligibility rules, age restrictions and capacity limits. A place is guaranteed only where the booking confirmation expressly confirms it.

Participation is voluntary. You must follow all safety instructions and disclose to the relevant activity provider any health condition, injury, pregnancy, disability, allergy or other circumstance that may affect safe participation. You are responsible for deciding whether an activity is suitable for you and should seek appropriate professional advice if unsure.

We or the relevant activity provider may refuse or stop participation where reasonably considered necessary for safety. This will not entitle the attendee to a refund of the Event ticket.

Some sessions and services are delivered by independent third parties. Where you separately purchase goods or services from an exhibitor, speaker, practitioner or other third party, your contract is with that third party and may be subject to its own terms. Food and drink available to purchase at the venue is also supplied subject to the relevant vendor's terms and availability. Attendees may bring their own lunch, subject to venue rules.

The advertised Sanctum and &Soul after-parties are independently operated third-party events promoted by HOS. They are restricted to attendees and may require identification and a separate booking. They are not operated by HOS or included in an Event ticket unless expressly stated. Your contract for an after-party ticket is with the relevant third-party organiser and is subject to that organiser's terms. HOS is not responsible for the operation of an after-party, its admission decisions, changes, cancellation or any loss arising from it, except to the extent that liability cannot lawfully be excluded.

9. Health and medical disclaimer

The Event is provided for general educational and informational purposes. It is not a substitute for individual medical advice, diagnosis or treatment. HOS does not endorse or guarantee every statement, method, product or service presented by a speaker, exhibitor or other third party.

You should consult an appropriately qualified healthcare professional before acting on information received at the Event, particularly if you have a medical condition, take medication, are pregnant or are considering a significant change to treatment, diet, supplementation or physical activity. Never disregard or delay seeking professional medical advice because of something heard or seen at the Event.

Products, tests, treatments and services displayed or discussed at the Event may not be suitable for everyone and may be subject to separate regulation, evidence standards and terms of supply.

10. Emergencies, first aid and accessibility

If an attendee becomes ill or is injured, Event or venue personnel may provide first aid and contact or arrange assistance from the emergency services or other medical professionals where reasonably considered necessary. Any examination or treatment will be subject to applicable UK consent and mental-capacity law and to the clinical judgment of the attending healthcare professionals.

If you have accessibility requirements, please contact us as early as possible so that we can discuss them with you. We will consider accessibility requests and make reasonable adjustments as required by the Equality Act 2010. The adjustments that can reasonably be provided may depend on the circumstances, including the nature of the request, the notice given, safety requirements and the venue. A lack of advance notice does not remove our legal obligations, but may affect what it is reasonably practicable to arrange in time.

We may make an appropriate record of an accident, incident or medical emergency. Where reasonably necessary and lawful, relevant information may be shared with the venue, emergency services, medical providers, insurers, professional advisers or public authorities. We will limit the information recorded and shared to what is reasonably necessary and handle health information as special-category personal data in accordance with applicable data protection law and our Privacy Policy.

11. Photography, filming and recording

Photography, filming and audio recording will take place throughout the Event. By attending, you acknowledge that you may appear incidentally in crowd shots, background footage or general recordings of the Event.

HOS and its authorised production and commercial partners may use Event photographs, footage and recordings for reporting, editorial, archival, promotional and marketing purposes in any media worldwide, without payment to attendees.

If you do not wish to be featured in identifiable close-up photography or filming, please notify us before the Event or speak to the registration team on arrival. We will use reasonable efforts to accommodate the request, but cannot guarantee exclusion from incidental, background or crowd footage.

Attendees may take reasonable photographs and short personal recordings unless signage or staff instructions prohibit this. You must respect the privacy and rights of others. Professional equipment, live streaming, recording complete talks or workshops, and use of Event content for commercial purposes require our prior written permission and, where relevant, the permission of the speaker or rights holder.

12. Intellectual property and attendee contributions

Event branding, materials, presentations, recordings and other content belong to HOS or the relevant licensors, speakers and rights holders. Attendance does not grant a right to reproduce, distribute, sell, publish or commercially exploit that content.

If you voluntarily provide feedback, ideas, comments, a testimonial or other material to HOS, you grant us a non-exclusive, worldwide, royalty-free licence to use, reproduce and adapt it for Event reporting, marketing and service improvement. We will not use personal information in a manner inconsistent with our Privacy Policy.

You must not post or share unlawful, defamatory, discriminatory, threatening, obscene or infringing material in connection with the Event or on Event-operated channels.

13. Recordings and CPD

We intend to make recordings of the main talks available to all Event ticket holders in the weeks following the Summit using the email address supplied at registration. Access will have no fixed expiry and is intended to remain available for as long as HOS continues to operate and is able lawfully and technically to provide the recording service. We cannot guarantee permanent or perpetual availability, including where HOS ceases trading, a hosting service is discontinued, technology changes or speaker or third-party rights require content to be removed. We may omit, edit, replace or remove content where reasonably necessary. Where reasonably practicable, we will give registered ticket holders notice before materially discontinuing the recording service.

The Event is CPD accredited and attendees may be eligible for up to 19 CPD points for attending qualifying Event content. Points and certificates are subject to the accrediting body's requirements and any attendance or completion criteria communicated at the Event. Attendees are responsible for scanning or following the unique CPD link provided with their badge and downloading their certificate. We do not guarantee that a particular employer, regulator, professional body or membership organisation will accept the points for an attendee's individual requirements.

14. Data protection and communications

We process personal data in accordance with the UK GDPR, the Data Protection Act 2018, the Privacy and Electronic Communications Regulations 2003 (PECR), and our Privacy Policy. This includes using information as necessary to administer bookings, take payment, operate the Event, provide ticket-holder communications, maintain safety and security, and meet our legal obligations.

We may send service messages that are necessary for your booking or attendance, such as booking confirmations, access information, schedule changes, safety information and important Event updates. These are not marketing messages.

Where you begin but do not complete a booking, we may use the contact and booking information you provided to contact you about the incomplete booking, offer assistance, identify technical or payment issues and, where permitted by law, remind you that tickets remain available. Depending on the information provided and your communication preferences, this contact may be made by email, SMS or telephone.

We treat promotional abandoned-booking communications as direct marketing. Marketing communications will be sent or made only where we have an appropriate lawful basis and where the communication is permitted under PECR. Where consent is required, it must be given separately and is not a condition of buying a ticket.

You can withdraw consent or object to direct marketing at any time by using the unsubscribe or opt-out method provided in the communication, telling a caller that you do not wish to receive further calls, or contacting enquiries@healthoptimisation.com. Opting out of marketing will not stop necessary service communications about an active booking.

Where you provide special-category information, such as health, dietary or accessibility information, we will process it only where we have a valid lawful basis and an appropriate condition under applicable data protection law.

15. Liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of statutory rights, or any other liability that cannot lawfully be excluded or limited.

Subject to the paragraph above, HOS is not responsible for:

  • loss or damage that was not reasonably foreseeable when the contract was made;

  • loss arising from inaccurate information supplied by the attendee or a failure to follow reasonable instructions;

  • loss of or damage to personal possessions, except where caused by our negligence; or

  • business losses suffered by a consumer, including loss of profit, business, revenue or opportunity.

Nothing in these Terms excludes any duty to provide the Event with reasonable care and skill or any remedy available under applicable consumer law.

You are responsible for your belongings. Any lost property handed to us will be dealt with under the venue's or our lost-property procedure and may be disposed of after a reasonable period.

Security staff and a cloakroom are available at the venue. Personal possessions, including items left in the cloakroom, remain the attendee's responsibility. HOS is not responsible for possessions that are lost, stolen or damaged, except where the loss or damage is caused by our negligence or where liability cannot otherwise lawfully be excluded.

16. Insurance

Your ticket does not include personal accident, medical, travel, cancellation or property insurance. You are responsible for arranging any insurance you consider appropriate.

17. Complaints

If a problem arises during the Event, please report it promptly to the registration desk or a senior member of Event staff so that we have a reasonable opportunity to assist.

Questions or complaints after the Event should be sent to enquiries@healthoptimisation.com, with the booking name, booking reference and relevant details. We will aim to respond within a reasonable time.

18. General

If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in effect.

Our failure or delay in enforcing a provision does not waive our right to enforce it later.

No person other than the ticket purchaser, attendee and HOS has any right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

We may update these Terms where reasonably necessary. The version accepted when a booking is completed will apply to that booking, except where a later change is required by law or is more favourable to the attendee.

19. Governing law and jurisdiction

These Terms and any dispute or claim arising from them are governed by the laws of England and Wales.

If you are a consumer resident in another part of the United Kingdom, you may also benefit from mandatory protections and bring proceedings in the courts available to you under applicable law. Otherwise, the courts of England and Wales will have jurisdiction.
